Safety & Security

The safety and well-being of the children in our care is our top priority at Pop in Kids Club. Safety starts with the parent/guardian and continues with our staff until your child is returned to the parent/guardian. Our team focuses on prevention as the key to maintaining a safe environment.

 

Pop in Kids Club follows state-mandated guidelines that require all children to be signed in and out at our kiosk and our paper-based sign-in sheet. Parents/guardians are required to show a valid government ID until their photo is in our system to release your child.

When you enroll, state guidelines require you to complete and sign the emergency contact list that provides the names and contact information for all individuals permitted to pick up your child. Only the parent/guardian is authorized to pick up a child without additional written authorization.

We will also not release a child to any emergency contact who does not have written authorization from the parent/guardian. We will not release a child to any emergency contact under the age of 18 unless the individual is the legal parent/guardian. We cannot release children to any authorized pickup person if the staff suspects them to be under the influence of drugs or alcohol.

Child Accidents

Our staff members are always alert and concerned about the children in our care.
If an accident or injury is an emergency, the following procedures are followed:

  1. 911 is contacted.

  2. Child’s parent/guardian (or emergency contact) is called.

  3. Child and health records are taken to the emergency services at the nearest hospital.

  4. In incident report is completed.

 

All accidents and/or injuries require an incident report to be completed. One copy is given to the parents and the other is placed in the Accident and Injuries notebook kept on file.

 

Security Cameras

Pop in Kids Club utilizes closed circuit security cameras inside and outside the facility. These cameras are used for security purposes and are only made available to customers in situations where it is required by law.

 

Zero Violence Policy

Pop in Kids Club strictly prohibits family members, children, and guests from possessing firearms or any other weapons on our property and events that we sponsor. If children are found to be in possession of firearms or any other weapons, our management team will confiscate the weapon and notify the proper authorities.

 

When a child or parent’s behavior threatens the safety of others or if a child or parent/guardian becomes abusive towards other children, parents, or staff in the center, we reserve the right to suspend or disenroll your child immediately.

 

Drug-Free Environment

We are committed to promoting and maintaining a healthy and safe environment for everyone. Staff, family members, and guests are prohibited from smoking with 20 feet of the center. At no time shall anyone ever use, consume, sell, manufacture, or be under the influence of illegal drugs or alcohol within 20 feet of the center.

 

We cannot release children to any authorized pickup person if the staff suspects them to be under the influence of drugs or alcohol. The local authorities are contacted in this situation to ensure the safety of your child.

 

Confidentiality & Children’s Records

Pop in Kids Club establishes and maintains a current individual record for each child enrolled in our facility. We require parents to review and update the emergency contact information and the enrollment agreement every six months or as soon as there is a change in the information.

 

All records are kept confidential and stored in a locked cabinet. Pop in Kids Club staff members may not disclose information concerning a child or family, except during inspections and investigations by agents of the Department of Human Services. All parents have access to their child(ren)’s complete child daycare record. We retain a copy of each child’s record at the facility for at least one year after the termination of service.

 

Mandated Reporter

All Pop in Kids Club staff members are required by law to report any suspicions or evidence of child neglect or abuse to the PA Department of Human Services or law enforcement agencies and to Childline at 1-800-932-0313. Failure of our staff to report neglect or abuse can result in the staff being held accountable by the law. 

 

Final Drop Off Time

Pop in Kids Club provides extended evening hours, but our final drop-off time Monday through Thursday is 8PM, Friday and Saturday is 9PM and Sunday is 5PM.

 

Late Pick Up

Our extended hours should allow most families ample time to pick up their children before we close. If a late pickup is unavoidable, please notify us immediately. 

Please arrange to have your child picked up by an authorized individual listed on your emergency contact list if you will be unable to return before closing time.

Please note that the hourly rate is doubled until your child is picked up in this situation. Per state licensing regulations, we may be required to contact the local authorities after a designated amount of time. 


Additionally, Pop in Kids Club staff members do not provide transportation for your child under any circumstances.

Emergency Procedures

Pop in Kids Club believes that prevention is the best defense for emergency situations. Our center is a safe environment that is ready for potential emergency situations. We regularly schedule and practice emergency evacuation and fire drills as required by the PA Department of Human Services.

Pop in Kids Club has an emergency plan that provides children with shelter, at and away from the center, during an emergency. If evacuation occurs, we devise a method for contacting parents as soon as is reasonably possible, a method for informing parents that the emergency has ended, and a method for providing instruction as to how parents can safely be reunited with their children.

​

Pop in Kids Club re-evaluates our emergency plan annually and updates the plan as needed. Each review and update of the emergency plan is documented in writing and kept on file at the facility. Each staff member receives training regarding the emergency plan at the time of initial employment, on an annual basis, and at the time of each plan update. The date of each training and the name of each facility person who received the training is documented in writing and kept on file at the facility.
